Knowledge Base > KB00005 - I am hiring staff (such as a non-faculty coach, substitute), that I do not add to HRMS. How can I do this?

If you need to collect applicants and hire for positions you will not add to HRMS, there are two ways to accomplish this.
HRMS Dummy Position | Generic Job Order

HRMS Dummy Position

Create a dummy position in HRMS to collect candidates. Create the position in HRMS using the Position module . Make sure that the position is setup so that it does not include anything that will affect reporting for SS-200, etc. It is recommended that you set the position status as Vacant in HRMS. In NC SchoolJobs, update the Job Order details, adding any specifics (explaining this is for multiple locations, is time limited etc.), set the positing time-frame and activate. You can process the candidates that are received using the system life cycle (workflow) based on the category (Licensed, Substitute, Classified, Bus Driver) to which the position is assigned. However, do not hire anyone at the end of the process since you do not want this to go back to HRMS. Once you have completed the cycle of hiring you can inactivate the Job Order. When you need to reactivate, click the Clone button first. The cloning process will archive the former posting and its candidates so you can edit and post anew to collect fresh candidates or add candidates yourself.

Generic Job Order

Each school district has a generic job order that was created, one per job category (Licensed, Classified, Bus Driver, Substitute). The district can use this job order to hire staff that will not go into HRMS. For example, the generic substitute job order can be set up so you can hire more than one person. The generic job order is NOT tied to an HRMS position. This job order can be used to collect applications for candidates interested in your district when a position specific job order is not available. Update the Job Order details, adding any specifics (updating the job description, adding schools, setting the number of hires, etc.), set the positing time-frame and activate. You can process the candidates that are received using the system life cycle (workflow) based on the category (Licensed, Substitute, Classified, Bus Driver) to which the position is assigned. Once you have hired all of the candidates needed for this job, deactivate the job order. When you need to repost the job, click the Clone button first. The cloning process will archive the former posting and its candidates so you can edit and post anew to collect fresh candidates or add candidates yourself.
